Position Summary

This recruitment will be used to fill one full-time Accounting Technician position for the Accounts Payable and Travel department at Oregon State University ( OSU ).

The Accounting Technician is a member of the Accounts Payable Office, within the Controller’s Unit. The Accounts Payable Office provides critical accounting services to the Oregon State University campus, including invoice entry, invoice approval, check run processing, tax reporting, vendor master file management, and payment remediation.

The incumbent supports the vendor master file master file operations within the Accounts Payable Office. This position maintains accurate and thorough computerized records, which ensures the universities vendor master file is complete. The Accounting Technician should possess excellent problem-solving skills to perform research and troubleshoot errors. This position will follow university internal controls to ensure the integrity of financial information, promote accountability, and prevent fraud. It is expected that this position will follow all processes, use applicable documents/guides and escalate issues if they arise with regard to internal controls.

Position Duties

50% VENDOR RECORD MANAGEMENT :
Regularly reviews and approves completed vendor registrations submitted in the eProcurement system. Review and approval process entails screening vendor data against, IRS Database, OFAC list, USPS , and Visual Compliance Database. Additional reviews are done to ensure data aligns with best practices such as legal name abbreviations, physical street address, and address formatting.

Completes proxy vendor registrations when vendors are unable to complete the standard online registration process. Performs regular maintenance on all proxy records such as address updates, contact changes, and other key business information updates to ensure completeness of data.

Troubleshoots vendor synchronization errors between the eProcurement system and the Enterprise Resources Planning ( ERP ) system.

Uses excellent customer service to respond to vendor inquiries and resolve problems with vendor record establishment in the eProcurement system.

30% VENDOR REGISTRATION SUPPORT :

Responsible for overall vendor registration process. Regularly monitors vendor maintenance requests to respond to inquiries from campus customers as well as external vendors. Provides professional service through phone and email for vendors that experience registration issues with OSU’s electronic supplier portal. Uses established procedures to validate identity and legitimacy of request.

Review and approval of new vendor requests within eProcurement System. The review and approval process is a key internal control to ensure that vendor data is safeguarded against fraud. The incumbent will support and follow all internal control processes and procedures to ensure the safeguard of university assets with regarding to vendor management and support.

15% PAYMENT REMEDIATION :
Troubleshoots and resolves failed accounts payable payments from OSU to vendors. These payments may include undeliverable checks, failed ACH pre-notes, and failed ACH payments.

5% – Other duties as assigned by the Accounts Payable Manager or Accounts Payable Supervisor.

Minimum Qualifications

12 quarter hours (8 semester hours) of Accounting courses AND one of the following: An Associates Degree in Accounting; OR One year of experience that includes entering, compiling and/or reporting financial information; OR An equivalent combination of education and experience. Transcripts must be submitted for all required and/or related courses. All courses must be from accredited colleges, universities, or private vocational schools.

Additional Required Qualifications

Experience with large computerized record keeping and accounting systems.
Strong organizational skills.
Strong time management skills.
Excellent attention to detail.
Excellent written and verbal customer service skills.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Experience in higher education environment.
Experience working in Accounts Payable role.
Experience maintaining vendor master file data.
Experience using Jaggaer Total Supplier Manager.
Demonstrable commitment to promoting and enhancing diversity.

Working Conditions / Work Schedule

Office environment. Pressure to meet deadlines. May involve overtime and continuous interruptions. The position requires substantial review and analysis of non-prescriptive, situational, accounting issues and problems. Analysis will often require phone conversations and email correspondence with staff and faculty and may require significant research.

This position is deemed essential and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures.
